What should management be able to approve? The signatory should receive a concise pack showing the Taxable Person, Tax Registration Number, Tax Period, filing deadline, accounting basis, taxable-income bridge, tax calculation, payment amount and person authorised to submit. The pack should identify which schedules were prepared, who reviewed them and which facts came from management. Approval should be recorded in a form the business can retrieve later. An email, workflow approval or signed cover sheet may be suitable when it clearly identifies the version approved and the approver's authority.
The FTA Corporate Tax Returns Guide explains how the return is completed but also states that the guidance is not legal or tax advice and cannot determine every case. That makes entity facts important. A reviewer should not infer ownership, elections, related-party status, Free Zone eligibility or business purpose from incomplete records. Material judgements should be stated rather than hidden inside a spreadsheet formula.
How should the filing pack connect to the accounts? Begin with the final trial balance used for the financial statements or management accounts. Retain a reproducible bridge from accounting income to taxable income. Each adjustment should have a description, legislative or guidance reference where relevant, amount, evidence link, preparer and reviewer. Common areas include exempt income, non-deductible expenditure, entertainment expenditure, depreciation and capital allowances, unrealised gains or losses, provisions, related parties, tax losses and interest limitation. Not every item applies to every entity.
The bridge should reconcile to the figures in the return without unexplained manual differences. If a late journal changes the accounts, the team should document whether the return computation and approval pack were refreshed. Version control matters because an approved draft that differs from the submitted return cannot evidence the final decision.
Which evidence gaps require escalation? Create a gap register before the approval meeting. For each missing contract, invoice, ownership record, valuation, transfer-pricing support or legal interpretation, record the affected return area, potential direction of impact, owner and decision date. Filing evidence checklist The minimum handoff should include the final return PDF or export; taxable-income computation; trial balance and reconciliation; financial statements or approved accounts used; adjustment and election schedules; related-party and connected-person review; loss, relief and interest roll-forwards where applicable; supporting contracts and invoices; management representations; approval record; payment instruction; EmaraTax submission receipt; and a copy of correspondence or authority requests. Access permissions and file locations should be tested before the responsible employee or adviser leaves the process.
The FTA has stated that Taxable Persons must maintain records supporting information in Corporate Tax returns, including transaction, asset, liability and share records, and retain relevant records for at least seven years after the end of the Tax Period. The exact file depends on the business and return. A short checklist is not proof that every required record exists.
Who should submit and who should pay? The written timetable should name the EmaraTax account owner, authorised submitter, payment approver and person monitoring acknowledgement. Submission access should be tested early. The payment amount, method, reference and cut-off should be confirmed separately from return approval because filing and payment are connected obligations but different operational steps.
After submission, save the receipt and compare the filed version to the approved version. Confirm the payment status and record any platform message. If a difference or error is discovered, do not overwrite the original file. Preserve the audit trail and assess the appropriate correction route using current FTA rules.
What should happen after filing? Hold a short close-out review. Transfer recurring issues to the next-period control plan, update the compliance calendar and confirm ownership of any authority correspondence. Retain the pack under the entity's record policy with access restricted to appropriate people. The close-out should distinguish a completed submission from unresolved tax positions or process weaknesses.
