Direct answer

A cash-on-delivery reconciliation should connect every dispatched order to delivery status, the amount collected, return or refusal evidence, courier charges, remittance advice, settlement batch and bank receipt. Finance should reconcile gross customer collections before deductions, age unsettled deliveries and differences by courier, and stop the same order from being treated as both delivered and returned.

Cash-on-delivery creates a timing gap between an online sale, physical delivery, cash collection by the courier and the eventual bank settlement. A bank receipt alone cannot explain which orders were delivered, which parcels returned, which fees were deducted or which balances remain with the courier.

Start from the order population

Extract a controlled order list by legal entity, channel, order number, dispatch date, customer amount, delivery charge, payment method and assigned courier. Exclude prepaid orders from the COD population and investigate orders with missing or changed payment methods. Use the order number as the common reference through fulfilment, courier reporting and finance.

Match delivery and collection status

For each order, record delivered, refused, cancelled, returned, lost or still in transit. Match delivered orders to proof of delivery and the amount the courier reports as collected. A status of “delivered” should not automatically clear the receivable where the collection value or evidence is missing.

Rebuild the gross-to-net settlement

Reconcile the gross COD amount to courier fees, return charges, insurance, penalties, adjustments, taxes where applicable and the net remittance. Keep each deduction in a named column with the contractual basis or supporting invoice. Posting only the net receipt hides errors and makes margin analysis unreliable.

Control returns and failed deliveries

Connect every failed delivery or customer refusal to the returned parcel, warehouse receipt and inventory movement. Prevent an order from remaining in delivered sales while the goods have re-entered stock. Track damaged, lost or unreturned parcels separately rather than clearing them through a general difference account.

Match settlement batches to the bank

Record the courier statement number, settlement period, transfer reference, value date, currency and bank amount. One transfer may settle several courier files, and one file may be paid in parts. The reconciliation should preserve both levels instead of forcing a one-to-one match.

Age courier balances and exceptions

Age from the contractual settlement date. Show delivered but unreported orders, collected but unsettled cash, short settlements, unidentified deductions, unmatched bank receipts and returned parcels not received. Assign each exception to finance, customer service, warehouse or the courier account owner with a due date.

COD settlement control checklist

1. Reconcile the complete COD order population. 2. Match delivery status and proof of delivery. 3. Confirm the customer amount collected. 4. Rebuild gross collections to net settlement. 5. Support every courier fee and adjustment. 6. Link failed deliveries to returned inventory. 7. Match settlement batches to bank receipts. 8. Age and escalate every open difference.

IAS 7 addresses information about changes in cash and cash equivalents, while IFRS 15 addresses revenue from customer contracts. Revenue, receivables, fees and returns require fact-specific policy review. This article is an operational reconciliation framework, not a prescribed accounting conclusion.

This article is general information. It is not a filing opinion, legal advice, audit conclusion, investment recommendation or guarantee of authority acceptance or commercial outcome.

What should a cash-on-delivery reconciliation include?+

Include the order, dispatch, delivery status, amount collected, return evidence, courier deductions, settlement batch, bank receipt and every unresolved exception.

Should COD receipts be reconciled net of courier fees?+

Finance should rebuild gross customer collections to each supported deduction and the net bank receipt instead of recording only the net amount.

How should unsettled COD orders be monitored?+

Age them from the contractual settlement date, classify the reason, assign an owner and track them until the courier report, return or bank receipt resolves the balance.
