Decision supportA menu price should be commercially usable and financially traceable. The control failure occurs when a calculated price is overwritten by a rounded figure without retaining the assumptions behind it. The menu may look tidy while the food-cost percentage, VAT treatment or contribution has changed silently.
Start with a controlled cost basis Use the current approved recipe version, normal yield, portion quantity and directly attributable packaging or channel cost included under management policy. Record the supplier-price date. Do not use a theoretical cost whose ingredients, yields or portions no longer match operations.
Separate calculation from commercial rounding Calculate the price required for the target food-cost percentage before rounding. Then apply the chosen commercial increment, such as AED 0.50 or AED 1.00, as a separate step. Store both results. This makes it possible to explain whether rounding improved or weakened the target and by how much.
Keep the VAT basis explicit State whether the entered selling price includes or excludes VAT and reconcile the calculator basis to the POS and accounting treatment. Do not assume every cost includes recoverable VAT. Input-tax recovery depends on the supply, evidence and applicable rules, while the customer-facing price and accounting revenue need a documented bridge.
Review margin after rounding Recalculate the food-cost percentage and contribution using the final menu price. A rounded number is not automatically acceptable merely because it is close to the original result. High-volume items can turn small per-item differences into a material monthly variance.
Approve and monitor the change Record the item, outlet, channel, old price, new price, effective date, approver and reason. After launch, compare volume, discounting, waste and actual food cost with the decision case. Keep delivery-platform pricing separate where commissions and packaging differ.
