Direct answer

Reconcile each UAE marketplace settlement by starting with the platform’s order and transaction population, separating gross sales, VAT, discounts, refunds, commissions, fulfilment charges, reserves, withholding and adjustments, and matching the resulting payout to the bank. Post differences to named control accounts, not revenue, and close them by order or transaction reference with an owner and ageing.

A marketplace payout is a settlement calculation, not a sales journal. The bank receives a net amount after multiple transaction types and timing rules. Finance needs a bridge from completed customer orders to the platform statement and then to cash.

What documents are needed for a marketplace reconciliation? Retain the order report, transaction or settlement statement, fee schedule, tax invoices or credit notes, refund and claim reports, reserve or withheld-balance movement, fulfilment adjustments and bank receipt. Record the report period, currency, marketplace entity and extraction time so reruns can be compared.

Where the platform offers only rolling reports, archive each closed period before the data changes.

How should gross sales be separated from deductions? Start with completed orders within the defined recognition policy. Present gross sales, output VAT where applicable, customer discounts, returns, refunds, marketplace commission, fulfilment or logistics charges, advertising deductions, reserve movements and other adjustments as separate lines. The reconciliation bridge should equal the payout before foreign-exchange or bank differences.

Do not post the net cash receipt to revenue. That practice can understate both sales and operating costs.

How are timing differences handled? An order date, dispatch date, delivery date, refund date, settlement cut-off and bank value date can fall in different accounting periods. Define which event drives accounting recognition, then keep unsettled items in a marketplace receivable or other appropriate control account. Carry forward valid timing items with source references and expected clearance dates.

Ageing should distinguish normal cut-off from missing transactions, disputes and unsupported adjustments.

How should marketplace VAT and agency fees be reviewed? The FTA e-commerce guide distinguishes underlying supplies from intermediary services and explains disclosed and undisclosed agency concepts. Finance should read the seller agreement, invoicing model and transaction facts. A commission or other platform service may require its own tax analysis, separate from the customer sale.

Where a foreign platform charges services, assess the current place-of-supply and reverse-charge rules using live FTA guidance; do not infer treatment from the supplier's location alone.

What controls catch incomplete settlements? Use control totals for order count and value; unique transaction identifiers; duplicate detection; fee-rate reasonableness; refund-to-original-order matching; reserve roll-forwards; payout-to-bank matching; and ageing of uncleared items. Restrict manual journals and require evidence plus approval.

Compare the current fee schedule with actual deductions. A contract change should update the expected-rate test before the next close.

How should returns, claims and chargebacks be recorded? Link each return or claim to the original order, SKU, tax document and settlement movement. Separate customer refunds from marketplace compensation, logistics claims and seller-funded discounts. Record expected recoveries only when the accounting policy and evidence support them.

For payment-card disputes routed through a gateway, use the dedicated payment gateway reconciliation guide.

What should the month-end reviewer sign off? The reviewer should approve the settlement population, gross-to-net bridge, bank match, reserve roll-forward, unresolved ageing, VAT control mapping, fee accruals and manual journals. Any unmatched balance needs an owner, cause and due date.

The pillar UAE e-commerce accounting guide places this control in the broader close.

Professional boundary Marketplace contracts, report fields and tax roles vary. This framework does not decide whether a platform is principal or agent, when a specific sale is recognised or how every cross-border service is taxed. Confirm the contractual, accounting and VAT position for the actual model.

This article is general information. It is not a filing opinion, legal advice, audit conclusion, investment recommendation or guarantee of authority acceptance or commercial outcome.

Is a marketplace payout the same as sales revenue?+

No. It is usually a net settlement after sales, refunds, fees, reserves and adjustments. Reconcile the gross transaction population to the payout.

How should unsettled marketplace orders appear at month-end?+

Keep supported timing items in a named control account with the original reference, expected settlement date and ageing; investigate all other differences.

Can finance assume the platform is always an agent?+

No. Review the contract, invoicing flow and facts against current FTA guidance before documenting the principal-versus-agent and VAT treatment.
