Commercial Lease Rent, Service Charge and Deposit Reconciliation Controls in the UAE
By Valusage Technical Practice
Editorial responsibility: Valusage Business Advisors Editorial Practice

Direct answer
A commercial lease reconciliation should connect each signed lease and amendment to the premises, payment calendar, rent-free or stepped-rent terms, service charges, security deposit, other agreed charges, invoices or notices, bank payments, landlord statement and general-ledger balances. UAE finance teams should keep deposits separate from rent and service charges, investigate duplicate or out-of-period demands, track disputed amounts and reconcile the lease register to payables, cash and the approved accounting schedule.

Decision supportProperty costs can become difficult to control when lease terms, landlord notices, payment schedules and ledger records sit in separate files. A tenant-side reconciliation creates one traceable schedule from the executed agreement to every payment and open balance.
Maintain one approved lease register
Record the legal entity, landlord, premises, lease start and end dates, renewal or break dates, payment frequency, base rent, rent-free periods, stepped changes, service-charge basis, deposit, other agreed charges and contract owner. Link signed amendments, renewal evidence and approved commercial concessions to their effective dates.
Build the contractual payment schedule
Create a schedule by due date and charge type. Keep base rent, service charges, utilities or other recoveries, security deposits and one-off charges on separate lines. Record whether a valid invoice, notice or other evidence is required before payment. A calendar total is not enough when the wrong legal entity, period or charge type may have been used.
Match landlord demands and statements
Compare invoices, cheques, direct debits or payment requests with the approved schedule. Investigate overlapping periods, duplicate demands, missing concessions, unsupported rate changes, unexplained service-charge adjustments and amounts relating to a different unit. Reconcile the landlord statement to the tenant schedule rather than treating the statement as automatically correct.
Control security deposits
Maintain a deposit roll-forward showing opening balance, new deposits, agreed deductions, transfers, refunds and closing balance by premises. Preserve payment evidence and landlord acknowledgement. When premises are vacated, assign responsibility for inspection evidence, deductions, credit notes and refund follow-up so old deposits do not remain unresolved.
Reconcile payments and accounting schedules
Match each payment to the relevant charge and period, then reconcile the lease register to accounts payable, bank activity and the general ledger. Keep operational reconciliation separate from the technical accounting calculation. Finance should investigate manual entries, remeasurements, changes and balances that do not trace to an approved schedule.
Govern changes and disputes
Require documented approval for new premises, amendments, early termination, concessions, deposit deductions and payment-method changes. Record disputed amounts, evidence sent, owner, expected response and cash consequence. Prevent a disputed invoice from being paid manually while it also remains in a scheduled payment run.

Separate rent, service charges and deposits. 5. Roll forward deposits and expected refunds. 6. Match payments to bank and landlord statements. 7. Reconcile the register to payables and the ledger. 8. Age disputes, missing evidence and old balances.
IFRS 16 sets principles for lease recognition, measurement, presentation and disclosure, while IAS 7 addresses cash-flow information. The treatment of deposits, service charges, modifications or a specific lease depends on the contractual facts and the entity's accounting policy. This article addresses operational control and reconciliation, not legal interpretation or a prescribed accounting outcome.
